Position Overview

We are seeking a detail-oriented and reliable Accounting Assistant with construction accounting experience to support our finance and operations teams. This role plays a critical part in managing accounts receivable (AR), accounts payable (AP), purchasing coordination, and day-to-day bookkeeping tasks to keep projects running smoothly from concept to completion.

The ideal candidate understands the fast-paced nature of construction, is comfortable working with vendors and subcontractors, and has experience tracking job costs and managing financial documentation across multiple projects.

Key Responsibilities

Accounts Payable (AP)

• Process and code vendor invoices to appropriate jobs and cost codes

• Verify subcontractor invoices, lien waivers, and supporting documentation

• Prepare and process weekly check runs and vendor payments

• Maintain accurate AP records and resolve discrepancies with vendors

Accounts Receivable (AR)

• Assist with progress billing, invoicing, and customer statements

• Track incoming payments and follow up on outstanding balances

• Support collections efforts in coordination with project managers

• Maintain organized AR logs and reporting

Purchasing & Job Cost Support

• Assist with purchase orders (POs) and material procurement tracking

• Coordinate with project managers on material orders and budgets

• Ensure proper cost coding and allocation to jobs

• Track committed costs vs. actual expenses

Bookkeeping & Administrative Support

• Assist with daily bookkeeping tasks and data entry

• Reconcile bank and credit card statements

• Maintain organized digital and physical financial records

• Support month-end close processes and reporting

• Assist with payroll support and job cost allocations (as needed)​

Qualifications

• Required:

  • 2+ years of construction accounting experience

  • Strong understanding of job costing, cost codes, and project-based accounting

  • Experience with AR/AP processes in a construction environment

  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar)

  • Strong attention to detail and organizational skills

• Preferred:

  • Experience with construction management or estimating software (e.g., Buildertrend, Procore, or Xactimate)

  • Familiarity with lien waivers, subcontractor compliance, and construction contracts

  • Basic understanding of payroll in construction
